Set up your QuickBooks Workforce account

by Intuit208 Updated a day ago

Learn how to set up your account in QuickBooks Workforce. Then you can view your pay stubs, W-2s, and more.

What you’ll need

  • An invitation email from do_not_reply@intuit.com.
  • An existing Intuit account (such as TurboTax or a previous QuickBooks Workforce account) or the information to create a new one.
  • Your Social Security Number for tax reporting purposes.

Your Social Security Number is required for employment. It is used to report your wages and taxes to the IRS, Social Security Administration, and state agencies. But don't worry, we keep your personal info secure.

Check out this video to set up and use QuickBooks Workforce. Note: The section to add your personal, tax, and bank info isn’t available to everyone. It depends on the payroll service your employer uses.

Accept your invitation

  1. Locate the email from do_not_reply@intuit.com with your employer's name in the subject line. If you cannot find it, check your spam folder or confirm the email address with your employer.
  2. Open the email and select Accept Invite.
  3. Create a new Intuit account with your email and a password. If you have an existing account, sign in using those credentials.
  4. Enter your personal information to continue onboarding. Depending on your employer, you may need to provide additional documents or information.
  • Multiple employers: If you already have a QuickBooks Workforce account, you can accept an invitation from a new employer using the same email address.
  • QuickBooks Online users: If you have access to QuickBooks Online, use a different email address for your QuickBooks Workforce account. It is recommended to use a work email for QuickBooks Online and a personal email for Workforce.
  • Invitation updates: Ensure you are accepting the most recent email invitation, as your employer may have resent it.
  • Credential mismatches: If you have used other Intuit products like TurboTax, use that existing email and password. If you did not provide that specific email to your employer, you must use the email address they have on file.
  • Security: For more information, check out Understand multi-factor authentication in QuickBooks Workforce.
