Multiple Eins with Payroll Desktop

Good day Community

 

I have a question, Payroll online has been slightly been increasing and increasing and I have been thinking to go back to Desktop to save some money, but my question is if I buy the Desktop version with Payroll, how many different EIN or companies can I use the payroll software,

 

company A

Company B

Company C

 

Can I run multiple payrolls with the same software or do I have to pay for each as well?

I'd be glad to share some information regarding how many EINs or companies you can add to your payroll software, Erik-Davila.

 

Each QuickBooks Desktop Payroll service has a limit on the number of companies you can add to a single subscription. With QuickBooks Desktop Payroll Basic, Standard, or Enhanced, you can add up to 3 EINs.

 

In case you need to add a company to your payroll subscription, you can follow the steps below:
 

  1. Click Employees at the top menu bar and choose Payroll.
  2. Select Use My Existing Payroll Service. If you don't see this option, follow the steps here "Use my existing payroll service option is not available."
  3. Under Identify Subscription, choose Use Subscription Number XXXXXXX [ Payroll Subscription Version ]. If you don't see your subscription in the list, select Other: I have an existing subscription and a Zip Code. And enter your information.
  4. Tap Open, then select Next.
  5. When the Add Company Information window opens, select Next to add the company EIN.
  6. You may choose to Print or Return to QuickBooks Desktop. Note: The Validating Payroll Subscription window opens and the service is added automatically.
  7. Verify the Service Key.
    • Select Employees, then My Payroll Service, then Manage Service Keys.
    • Select View to display the new service key with an Active Status.

Continuing with adding EIN to our subscription, we have the Enhanced Payroll for Accountants version and we prepare the quarterly and yearend reports for several clients that use the basic payroll. The client gives us a backup to prepare the reports.  When we add their EIN to our service for the file on our machine, what does that do the client's subscription on their computer?  Can an EIN be attached to two payroll subscriptions?  One for the accountant's enhanced version and the other for the client's basic version?

I’m glad to know that you’re adding a client to your payroll subscription. Let me help and route you in the right direction about your concern.


When you have QuickBooks Desktop Payroll Enhanced for Accountants, you can attach a maximum of 50 Employer Identification Numbers (EINs) to your subscription. Also, the payroll service can only support one company data file per tax identification number. Thus it may cause errors when you attempt to use multiple company files under the same EIN and payroll subscription.

 

Once you add your client's tax identification number to your subscription, their service key will be deactivated. Then it will be replaced by the Payroll Enhanced for Accountants.


In situations like this, I recommend contacting our Payroll Support Team. One of our specialists will ask for personal data to pull up your account. Then help make sure your client’s EIN is added to your subscription seamlessly.


Here’s how to reach them:

 

  1. In your company file, press the Help icon at the top menu bar to select QuickBooks Desktop Help F1.
  2. Scroll down to the bottom of the window and click the Contact us link.
  3. In the Contact Us screen, enter a brief description about your concern in the Tell us more about your question field. For example, attach a client’s EIN to my subscription.
  4. Click the Search menu and select Call us to speak with an agent or Message Us for real-time support.

Up to three companies are included in the subscription price, except for Enhanced for Accountants, which supports up to 50 companies.
