Process payments in QuickBooks Desktop Point of Sale

Learn how to process a payment and to make a sale in Point of Sale.

If you have an active Intuit Merchant Account, you’ll see different options to process credit and debit card transactions in QuickBooks Desktop Point of Sale.

Accept credit and debit card in Point of Sale

  1. Go to the File menu, then select Setup Interview.
  2. Select the Payments tab.
  3. Select Yes to “Would you like to accept credit and debit cards?”.
  4. Select Sign in and enter your QuickBooks Payments account credentials.
  5. Under Payments Preferences, select Edit settings.
  6. Select the Accept debit/ATM card payments checkbox.
  7. Select Done.

How to process a credit card sale in Point of Sale

  1. From the Point of Sale home screen, select Make a Sale.
  2. Enter a customer.
  3. Scan or enter an item, then select Credit.
  4. Select Charge, enter the amount, then select the credit card type.
  5. Select your preferred credit card entry method:
    • PIN Pad. Used when an iPP350 PIN Pad is connected with your QuickBooks Desktop Point of Sale to process an EMV card.
    • Swipe. Swiping the card may qualify your sale for the lowest rate, and is proof the card was present at the time of the sale.
    • Manual. This is an alternate method if in any case you cannot swipe/insert the card.
    • Voice. You can authorize the card via telephone when electronic confirmation is not possible (Ex. When your internet connection is not working). Be sure to capture all information on this screen so that you can record your transaction once you are back online.
  6. Insert/swipe/enter the card information. Then select Authorize.
  7. Select Save & Print.

How can I process a debit card as a credit transaction?

You'd need to disable debit card payment in the Payments Preferences.

  1. Go to the File menu, then select Setup Interview.
  2. Select the Payments tab.
  3. Under Payments Preferences, select Edit settings.
  4. Clear the Accept debit/ATM card payments checkbox.
  5. Select Done.
  6. Make a sale, but this time, select Credit.

This allows you to process the debit card as a credit transaction and it won't ask for a pin.

Error: Transaction not allowed, when processing a credit card

There may be times when you are unable to process credit card payments and you get “Transaction not allowed” error.

This may happen if the payment type you’re using isn’t enabled in your company preferences.

To check:

  1. Go to the File menu, select Preferences, then Company.
  2. Under the Sales company preference on the left, select Receipt Tendering.
  3. In the Card Types section, make sure that the card type you're trying to process is selected.
