I want to sort the Customer A/R summary report alphabetically.  How do I do this?

Welcome to the Community. Let me help you sort your Customer A/R summary report in alphabetical order.

 

Just to clarify, are you referring to A/R Aging Summary report? If so, here's how to sort it alphabetically:

 

1. Go to Reports menu at the top, then pick Customers & Receivables on the drop-down.
2. Choose A/R Aging Summary, then click Customize Report at the upper left.
3. On the Display tab, select Default on the Sort by drop-down and  Ascending order on the Sort in under COLUMNS.
4. Click OK.

 

I also attached some sample screenshots below.

 

 

 

Once done, the report should now in alphabetical order. Just in case you need, you may check out this article that tackles customizing reports in QBDT: Customize reports in QuickBooks Desktop.

The report doesn't need to be Sorted; the Report is showing you that the Customer Center needs to be Re-Sorted. Open Customer Center and use View menu > Re-Sort List, to fix the report.

 

This is a Basic List Management task in QB. The Lists can be sorted for your view and use, such as Click on Balance Total, or Name. But every list has an Actual Underlying Sequence and years ago, someone at Intuit decide New Customers go to the Top.

 

So, to fix the List, you open it. You use View menu > Re-Sort List.

 

Then the Report is Fixed, too. Because you fixed the "original" order of that List.

None of these options worked in my QB 2017 Desktop.  My Customer list is alpha, but my Open Invoice A/R Report is all backwards and not alpha.

 

Any suggestions?

Hi daughertyaccounting,

 

Fritz and qbteachmt have already provided the possible solutions to sort the names on your A/R report. We'll check if this has something to do with damaged data or program components.

 

Please update your QuickBooks. Then, run the Verify utilities to check for damaged components, and then the Rebuild tool if there is.

 

To update QuickBooks:

  1. Click on Help and choose Update QuickBooks.
  2. Click the Update Now button.
  3. Put a checkmark in the Reset update checkbox.
  4. Click Get Updates.

To run the Verify tool:

  1. Click on File.
  2. Choose Utilities.
  3. Select Verify Data (and Rebuild Data later on)

When the system detects damaged data, you'll be prompted to back up your company file and run the Rebuild Data tool. If you're not prompted to back it up, please do it first before running the said tool.

I am using Quickbooks online. The screen does not look like the example images above.

 

I have created a customized report of transactions by class. The sort is set to order the data correctly, however it isn't actually sorting. The data appears in random order.

 

How do I get the sort to actually run? I've "run" the report several times but it still orders the transactions randomly.

Hello, Pathfinder.

 

I'll give a short overview on how the sort order works for QuickBooks Online. I'll also give a solution on how we can fix the transaction order issue. 

 

The images above are for QuickBooks Desktop. The reports have a different look in the Online version.

 

The "sort" option reorders your transactions by date in ascending or descending order. When you group them by class, it will normally start on each class.

 

Here's a sample transaction report sorted in descending order and grouped by class:

If the transactions aren't following the order as explained above, then this might be a case of a cache issue. Let's use an incognito browser or window to see if this is case. It won't use the existing cache data. Here are the shortcut keys:

 

  • Google Chrome: Ctrl + Shift + N
  • Internet Explorer: Ctrl + Shift + P
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

Run your customized report from there and check the sort order. If it's working normally in the incognito window, then go back to your regular browser and clear its cache. After completing the process, close then reopen it to apply the changes. 

 

You can use other supported browsers aside from clearing the cache, too.
