To keep your records accurate and make reconciliation easy, always link invoice payments directly to your connected bank account instead of using the Cash account. First, make sure your bank account is linked to QuickBooks.

Here’s how:

  1. Go to Get paid from your left-hand menu and select Invoices.
  2. Find the invoice you need to update and open it.
  3. Click More actions and select Record payment.
  4. Open the Deposited to dropdown menu.
  5. Select your connected bank account.

Only record these payments after the transaction officially clears your bank.
