How do i view all invoices

QuickBooks Online views/lists often cap transaction lists at a certain timeframe (like 365 days), meaning older invoice history is not visible unless filtered specifically. To view all historical invoices, use the Sales & Get Paid menu in QuickBooks Online.

 

Here's how:

 

  1. Go to Sales & Get Paid on the left-hand navigation bar.
  2. Select the Invoices tab at the top.
  3. Set the Status filter to All to view paid, open, and overdue invoices.
  4. Choose the Date by clicking the dropdown menu.

 

Alternatively, you can run the Invoice List report and filter for specific customers or dates. Here's how:

 

  1. Go to the Reports menu on the left panel.
  2. Type Invoice List into the search box.
  3. Select the correct Report period/date range.
  4. Click the Customise button if necessary.

I ask because since we were pushed onto the new version (which for us was 27th March 2026) we can only view 300 invoices whatever period we select. So, if you select year = 2025…:it only shows you the last 300 invoices created in 2025 (and the same if you select, say, last quarter and have more than 300 invoices, you can only view the most recent 300 for that period)..

The previous version used to show all invoices.

I have reported this bug. I have more serious bugs to fix, so I haven’t been chasing this one.

It’s worth you also reporting if you are also using the IPhone app and have the same issue as me (I have multiple QB accounts and it’s happening on all of them, hence I know it’s a bug not an issue with 1 particular account).
