Question

Products and Services - Batch Change Items - Now A Missing Feature?

We’ve previous used the CSV to mass change prices etc for my products. Although I can download the CSV file there is now way to re-upload it back?

I’ve asked the AI assistant and it confirmed the previous method, then rowed back saying the feature isn’t available when I confirmed that import is missing from the More drops down menu.

Please advise as this is going to be very time consuming to batch change items.

AI CHAT LOG:

To re-import your edited Products & Services CSV back into QuickBooks Online:

  1. Go to Sales (or Get paid & pay) → Products & services
  2. On the Products & services page, look for the Import option (often near the top-right, sometimes under a small drop-down/“More” menu).
  3. Choose Products and services as what you’re importing.
  4. Upload your edited CSV file.
  5. On the mapping screen:
    • Make sure QuickBooks is mapping your columns to the right fields (especially Name (and SKU if you use it), and Expense account).
    • The key to updating existing items (not creating duplicates) is that the rows match existing items by Name(and/or SKU, depending on what you have populated consistently).
  6. Complete the import, then spot-check a few items: open the item → confirm the Expense account is now your COGS subaccount.

Two important cautions before you click “Import”:

  • If you change item Name values in the CSV, QuickBooks may create new items instead of updating existing ones.
  • Only map the columns you actually intend to update (for your case: Expense account), and leave other columns alone to avoid unintended changes.

If you paste (or upload) a sample of 3–5 rows of your CSV (just the header + a few lines, you can redact prices), I can tell you exactly what the column headers should look like for the Expense account update and what to watch for to avoid duplicates.

The import is missing from the more drop down menu

On the Products & services page you’re on, QuickBooks has replaced the old Import option with Make quick edits to your items (that button is visible on your screen). That’s why you’re not seeing Import in More.

What to do instead (bulk-change the expense/COGS account)

  1. Go to Products & services (you’re already there).
  2. Click Make quick edits to your items.
  3. Find the column/field for the item’s Expense account (sometimes shown as Purchasing information → Expense account).
  4. Update the Expense account for the items you want, then Save.

If you specifically need CSV re-import

In some QBO accounts, CSV Import for Products & Services isn’t available (or is restricted by permissions), so you only get Export table + Quick edits.
Two things to check:

  1. Click Export table and confirm you can export—if export works but import doesn’t exist, that’s expected in some setups.
  2. Confirm you’re signed in as a user with full permissions (ideally Primary admin or a full-access admin). If you’re a standard user, import can be hidden.

Would you like me to look at what your More menu actually contains on-screen and tell you the exact option to use from your account’s UI.

The Batch import option has been moved to the New products/service dropdown from the More dropdown. When importing, make sure to tick the Check the box to overwrite existing items with the same name and category to successfully update the existing item details.

Here's how:

  1. Go to the Gear icon and select Products and services.
  2. From the New products/services dropdown, click Batch import.
  3. Tick the Check this box to overwrite existing items with the same name and category.
  4. In the Import from file section, upload the CSV file. Then, click Next.
  5. Follow the on-screen steps to import correctly, and if everything's good, select Save.

To update details like cost, description, SKU, accounts, and more across multiple items at once directly on the Products & Services page, use the Pencil icon for quick edits.

Feel free to reply if you have other concerns. I'm always here to help.

Hi. So you hadn’t read what AI had replied to my question that the import is MISSING under the More drop down menu.

Can someone please explain what the issues is here. AI said it was to do with my user account not being an admin/primary with the correct permissions, but, I am the only admin user on the account.

To clarify, the import feature hasn't been missing, it was moved to the New product/service dropdown menu. Since you are the account admin, your permissions are fully set up for you to access it right from there.

You can also do this by going to the Import data page. Here’s how:

  1. Go to the Gear icon.
  2. Click Import data.
  3. Select Product and Services.
  4. Click Browse to download your file.
