Where is your company located? US or another country?

Whether your subscription was cancelled or your trial ended, QuickBooks Online maintains your business records in read-only mode for 12 months post-cancellation. Modifying this data requires reactivating your plan, and you can access your inactive company files by selecting Cancelled companies on the login screen.

To preserve your read-only access indefinitely, maintain at least one active QuickBooks Online subscription tied to that same sign-in profile.

If you choose to export your data manually, you can do so as Excel files within a single .zip file. This enables you to share and access the required data.

Here's how:

  1. Go to the Gear icon and click on Export data.
  2. In the Reports tab, choose the date range from the Pre-selected date ranges dropdown menu.
  3. You can add or remove items from the Reports and Lists tabs by toggling them on or off.
  4. Select the Export to Excel option.
  5. Choose the folder where you want to save your file, then click Save.
  6. Click OK to confirm that the process is complete.
