Question

Enable QBO Payments with an EIN

I work for a C-Corporation with an EIN.

We are trying to enable payments with QBO but the system is forcing us to use someone’s demographic data (name, SSN, and birthday) to set up payments.

I found this shocking because we are using this for an established company. A Corporation is person--why can’t the corporation’s information be used?

When you sign up for QuickBooks Payments, federal rules require verifying both the business and the identity of the principal officer — someone with real authority over the company. A corporation counts as a "person" for things like taxes and contracts, but it doesn't have an SSN, date of birth, or credit history, so there's no way to run an identity check on the business alone.

That's why banks and payment processors always tie the account to a real person's personal information in addition to the business's EIN, no matter how established the company is.

To move forward, you'll need to choose an officer or owner to be listed as the Principal Officer. It doesn't need to be the majority owner, just someone with signing authority for the company. I'll also leave this article below as a helpful guide to walk you through the setup: Accept customer payments in QuickBooks.
