Receipt Capture

I recently updated Quickbooks Online to Quickbooks Advanced. The purpose was to move away from Dext and have employees enter their expenses directly into Quickbooks so all are working on one programme.

As hard as I try, I cannot snap receipts when logged in through an expense account. If I log into to QBO on my phone, then I can snap and upload receipts fine. However, in the expense account, if I select Snap a Receipt, the only options that come up relate to selecting a previous image saved in my gallery.

I have read the boards and found other users with troubles and so have studiously followed the recommended steps to rectify, but without success. I am using a Galaxy S22 Ultra phone and see some suggestion that  QBO expense/timetracker may have issues with those.

But this is not really a question of "it doesn't work" and more a question of "it doesn't even give the option to select a camera!

Most weird - any help welcome!

Welcome to the Community space, Zapman.

Thanks for upgrading to QuickBooks Online Advanced. I'll share some information about how employee expense management functions in submit expense claims and upload receipts.

Do you remember logging in to an expense account as an employee or an administrator? Anything you can tell me will assist me in solving your problem.

If you're an admin, there isn't any option for you to snap or upload receipt since you can only see those uploaded images submitted by your employee waiting for review and those you already reviewed.

Please ensure to log in as an employee if you want to snap and upload receipt. This guarantees you can submit expenses claims for company reimbursement. Check out this article for more details: Set up employee expense management in QuickBooks Online Advanced.

Additionally, I've added this resource that contains a comprehensive list of all the materials you need to learn how to use QuickBooks Online Advanced's key features: QuickBooks Online Advanced resource hub.

Please post a reply here if you have any additional questions or concerns, and I'll get back to you as soon as I can.

"Do you remember logging in to an expense account as an employee or an administrator?"

- I had logged in on a desktop as an admin to add the employee into expense management. I then sent the invite to the employee (a dummy employee that I had created with a false email address that I had access to).

I then completed the process of acceptance on my mobile phone, logged in and created password etc.

I then had the two options of time tracking and expenses on screen. I selected expense management and the screen changed correctly to show a bearded chap with his laptop.

I made sure I was on the 'Drafts' tab and then clicked the green 'Add Expense' button at the bottom of the screen.

I am given the option to 'Snap and Upload Receipt' or to 'Enter expense info manually'.

I select the former and another tab rises from the bottom of the screen offering me to 'Choose an Action'. There are three fixed choices given - 'My Files', Gallery' or 'Files'.

No sign of  camera option anywhere - almost as if the app doesn't know a camera exists on the phone.

I will of course read through the helpful info, but I am struggling  (as a fairly technical person) to see beyond a bug in that the app doesn't know it has a camera at its disposal - See attached screenshot.

All best

Appreciate the update, @Zapman.

You've mentioned a screenshot is included in your latest response. However, I am unable to check any attachments. I am hoping you would send it again for us to identify why your app is not letting you snap an actual receipt.

Keep me updated in the comments below. Take care and stay safe!
