Deposits

Hi  need some help. When I see a deposit On my bank account linked to Quickbooks I exclude it and them go to the invoice with the same value and mark it as payment received. And I doing it right. I am worried that if I receive the payment on the invoice and also mark the income on the banking transaction as a payment then it will put it in twice ?

Thank you for joining us here in the Community, @Aaronlilburn. I'll provide details to ensure your transactions in QuickBooks Online will be accurate.

You don't have to exclude the transaction. When you use QuickBooks Online's bank feed, you can add or match transactions to make sure QuickBooks Online matches what's in your real-life bank account.

  1. From the left menu, go to Banking.
  2. Click the Banking tab.
  3. QuickBooks displays an outlined green box beneath the Category or Match column that indicates a "1 record found" message to the matching transaction if QuickBooks find a possible match for the bank transaction.
  4. Tick the boxes next to the transaction and then Accept.
  5. Click the deposit transaction. Then hit the Find match radio button for multiple invoices. It will take you to the Match transactions page, where you can select the transactions you want to match.
  6. For duplicate records, mark the box next to the transaction.
  7. Choose Exclude.

Check out these resources for further information on matching downloaded transactions:

You can also create a bank rule to categorize your transactions automatically. Check this article for the detailed steps: Set up bank rules to categorize online banking transactions in QuickBooks Online.
