Employees cannot sign into Workforce

Hi,

I have 79 employees and the majority of them are messaging me today that they are unable to login to Workforce.  The message they see is "We can't sign you in.  Your employer has adjusted your access to Workforce.  You'll need to reach out to them to regain access."  But, I haven't done anything!!!  How do I fix this???

Thank you in advance!

I can help you in fixing this issue, Sangreal Smith.

It could be that the status of QuickBooks Workforce has been turned off in the Payroll Cloud Services that's why your employees can't access their paychecks and W-2s online. To isolate this issue, let's make sure that the QuickBooks Workforce option is turned on. I'll guide you how:

  1. Select Employees from the top menu bar.
  2. Choose Manage Payroll Cloud Services. ( If you don't see this option, please update your QuickBooks Desktop to the latest release.)
  3. Under QuickBooks Workforce, toggle the status to ON, then select Save.

Alternatively, we can go to the Employee Center to check the profile of your employees. If the status of those employees is inactive, their accounts won't be able to establish a connection with QuickBooks Workforce. Here's how to check it:

  1. Select Employees from the top menu bar.
  2. Choose Employee Center.
  3. Go to the Employees tab, then select All Employees from the drop-down menu.
  4. Review the employee profile. (An X mark will show beside the employee name if it's inactive).
  5. Simply click the X mark to reactivate the employee.

Additionally, here are some articles that you share with your employees to help them manage their QuickBooks Workforce account:

As always, I'm just a post away if you have any other concerns or follow-up questions. Stay safe.

What if neither of these applies and it's only a few employees that's getting this message?

@MonicaM3

For my shop, all my employees have been invited in the past and were successfully accessing Intuit WorkForce.  I use Enhanced Payroll in one company, and Assisted Payroll in another.  Both have invite functions to Intuit Workforce that I am well familiar with.

Now, as I have before reported, some cannot access Intuit WorkForce (including me!) and are presented with an erroneous statement that "their employer" has changed their access.

At this point I am angered that Intuit WorkForce has the audacity to tell my employees their employer is to blame!  Not only have I not changed any employee's access, I cannot control, manipulate, reset or access any employee's login credentials or account rights!

Second, I am angered that Intuit keeps presenting the same, non-working solutions, and not removing obsolete, inaccurate and outdated information from community threads, this one included.

Third, Intuit used to have rather respectable assistance, accessible by telephone, getting matters like this corrected.  About 80% of my employees had this issue about 18 months ago.  Now, the only assistance is a chat system that does not work (an employee of mine has so documented).

Frankly, Intuit should be better than this.

With Intuit not readily and quickly resolving employee access to payroll stubs, employers are then potentially violating state regulations regarding required payroll detail disclosure.  Presently, the only solution is to print payroll stubs and handout (or mail, for remote staff).  I have not had to do this for 20+ years with other payroll systems.  Until Intuit converted/renamed to Workforce, Intuit's access for employees to their payroll data was simple, and problems were easily resolved with Intuit support.

I am absolutely baffled why Intuit is so concerned about quality customer support, but leaves this matter absolutely broken.

This is not the experience I want you to undergo, @InTexas.

I know how inconvenient this is for you. Rest assured that the feedback regarding your experience was shared with the appropriate department and team members. I may haven't personally experienced what you've gone through, but know that you have the right to be heard and I'm here listening to you.

For now, we can check the status of QuickBooks Workforce has been turned off in the Payroll Cloud Services that's why you and you're employees can't log in and they can't access their paychecks and W-2s online. To isolate this issue, let's make sure that the QuickBooks Workforce option is turned on. I'll guide you how:

  1. Select Employees from the top menu bar.

If you still experience the same thing after trying the steps, I suggest reaching out to our customer care online support so this will get reported and investigated. Also,,  there's advanced support you can reach out for this. If you have QBDT Enterprise or Assisted Payroll, you can connect with our live support any time on any day.

To contact our support:

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help.

Having the same problem. Long time employees are reporting the error about the employer changing access which we have not done.

January 13, 2021

Hi there, brixcellars.

As mentioned by my colleague KlentB above, the reason for the error about the employer changing access to Workforce could be the status of QuickBooks Workforce has been turned off in the Payroll Cloud Services. That's why your employees can't access their paychecks and W-2s online. To fix this issue, I suggest making sure that the QuickBooks Workforce option is turned on. You can follow the steps shared above on how to perform the process.

However, if the issue persists, I suggest contacting our QuickBooks Desktop Support Team. They have the tools to further investigate the root cause of the error.

Here's how:

  1. Press F1 to open the Help window.
  2. From the search icon, type Contact Support.
  3. Click Contact us at the bottom part.
  4. Give a brief description of your issue about the error and click the Search button.
  5. You'll be routed with How to connect with a QuickBooks expert and you choose which one is best for you.

Please refer to this article to see steps on how you can print regular paychecks or Advice of Deposit forms: Print your paychecks in QuickBooks Desktop.

Please leave a comment below if you need further assistance about employee's Workforce or any QuickBooks concern. I am here to help. Have a nice day!

Some employees are able to access it. So it's not a setting we have in Quickbooks.

January 17, 2021

Go to Employees>manage payroll cloud services. Make sure Workforce Status is toggled on (you will see the green when on).  Then select "invite employees".

You will then be prompted to log onto the intuit site.  Enter your email address or user ID and your password.

After you sign in, you will see a list of employees and it will show their email address and their status. Make sure their current email address is showing, if not, change it and make sure you also update it in their employee profile.  Then select those that you need to send the invite to and hit the "invite" button.

Once they receive the invite, they can follow the prompts and that should clear up the issue.

Hello @Carolmills67,

As much as I'd love to offer help and get you to be able to view your paycheck, it is recommended to contact your employer.

By doing so, they can initiate a connection with the workforce so you can access the website or send you a new invitation email.

In the same manner, here's an article you can share with them for easy navigation: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more.

On top of that, I've also included this reference for a compilation of articles you can use while working with us: View your paychecks and W-2s in QuickBooks Workforce.

If you have any other questions, please let me know in the comments below. I'll be here to lend a hand.

When my employee tries to sign in to Workforce there are recurring errors and no way for the employee to contact Intuit directly about this issue.  I have tried all the fixes mentioned in the replies here, and the employee still can't see his pay information. It's actually not legal for employers to not provide pay stubs to their employees, so the fact that this keeps happening is worrisome from a labor law perspective....

If we've tried different browsers, incognito mode, clearing the cache, and resending the invite and it is just this one employee who can't see paystubs (thirty other employees are currently not having this problem) how do you suggest the employee contact Intuit, since there's no phone number for support and the links in this forum are broken?

Thanks!

Hello there, hails.

I recommend reaching out to our Phone Support agent so we can investigate this further. You can reach out to them through this link: QuickBooks Online Support.

I've also added this guide on how you can file and pay payroll taxes: Pay and file payroll taxes online.

I'll be around if there's anything that I can help. Keep safe!

Hi there,

I did contact QB support. I was on the phone with them for 3 hours and they couldn't help me. They ended up hanging up on me.

July 15, 2021

My employees are having the same issues, and none of this has helped!  I cannot find a support phone number anywhere.  I have so much better things to do with my time than try to figure out how to contact Intuit.

September 27, 2021

I am receiving the same message and none of the suggested remedies worked. I updated my QB this morning before running payroll...is there something wrong with the latest update to Enterprise Contractor 19 that is causing this problem?

Hi there, mwoodruff.

Thank you for posting here in QuickBooks Community. I appreciate you for performing the steps provided by my colleagues above to resolve the issue about log into Workforce.

After researching further, I've discovered there's an ongoing issue with this message. This means that other customers are having this same issue. Our Product Engineers are working hard to get this resolved.

I recommend contacting our Payroll Support team so that you can be added to the list of affected users. This way, you'll receive email updates of the investigation's status and be notified once it's been resolved. I've included the steps to contact support below.

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help.
  3. Select Contact Us.
  4. Give a brief description of your issue, then select Let's talk, and then choose a way to connect. Phone support may be limited due to volume.

Refer to this article for more info: Contact QuickBooks Desktop Payroll support.

For now, you may print the paystub manually and send them to your employees so they can have their own copies.

You can read this article in case you'll need help to resend the invitation again to your employee: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more

Feel free to leave a comment below if you have further questions about logging in to Workforce. I'm always here, ready to help you. Keep safe.

I had the same issue with just 2 of our many employees. I was able to go to the following chat link for workforce support and have them remove/reset the employee login. Then I resent them the invite from QB Desktop and voila employees were able to login and view paystubs again!
