It's that time! Get ready for 2023 W-2s.We're queuing up your W-2s and getting them ready for 2023 year-end filing. Check back here no later than Jan 31, 2024 to catch a preview. Above is the message on my Payroll Filings screen for one of my companies. When I click on the W-2s they are marked as draft copies. Why is this? What is taking so long and when will they be ready?? I'm happy to go through the process manually to prepare the W-2s. but that doesn't seem to be an option.

I have QBO plus. The “No, I print by myself” option to print 1099 gives the pdf output unaligned to the paper form. 

How do I check the box for retirement plan on the W2?

I need to run a bonus payroll with the ability to enter the taxes manually.

I want to provide the qualified OT for my employees for 2025.  Will I be able to edit the W2 before I print them out?

I keep getting this error when attempting to process 1099's in QBO.

As I was preparing my W-2’s I noticed that somehow the Medicare box was not checked so all the checks that were produced for an employee did not have Medicare taken out. The employee is no longer employed.  I need to correct my 941 for 3rd Qtr.  1. How do I do this and 2. Do I need to make sure the W-2 then shows his wages and payments for Medicare and how do I do this?   Never had this happen…

Do I need to create an account with that state?

I am new to QBO.

Tried resetting and clearing cache, history, cookies, etc. Tried talking to someone at qb but they want my life history before they will help. Anyone else running into this issue?

NEW FOLLOW UP QUESTION: (system will not allow me to reply to the original thread): Are you sure about this?  I think you're not understanding the point of my question. Typically, any paychecks that fall on a national holiday are run the day before.  July 4, 2025 fell on a Friday, but since it was a holiday (Independence Day), the paychecks were paid on THURSDAY July 3 instead. This upcoming year, January 1, 2027 will also fall on a Friday.  Since January 1 is ALSO a national holiday, wouldn't it be pushed back one day to THURSDAY December 31, 2026?  Meaning we end up with 27 paychecks for 2027. I'm asking because I want to know the official (and accurate) stance from Quickbooks on this, so employees can plan accordingly. ========================================= ORIGINAL QUICKBOOKS REPLY (probably incorrect): The paycheck on January 1, 2027, will not automatically move from QuickBooks to Thursday, December 31, 2026, because it will follow on your payroll schedule.

Hi, friends.  I encountered a glitch with entering data into Box 12DD for our W2s this year and wanted to share my accidental fix in case anyone else is having this issue.  First, the screen to edit boxes 12 and 13 was tricky to find this year.  It's at Payroll Taxes > Filings > Resources > W-2s > W-2 Copies B, C, & 2 (employee) > Edit Box 12/13. First of all, when I went to enter our Box 12DD totals per employee, every person we've ever employed appears on the list, not just the employees to receive W2s for last year. (thumbs down)  Then, only about 10 appear on the screen at a time so you must continually click "Load More".  (boo)  Heaven help you if you have hundreds of employees!.  The crux of the issue, though, is that after entering and submitting the Box 12DD data, none of it appeared on our W2s and were blank each time I reentered the Box 12/13 data entry screen.  I tried clearing my cache, using an incognito

Hello All, I have QBO Payroll core. There are 4 times of paid time off, vacation, pto, sick, and unpaid. Does anyone know if the categories can be renamed, or a new one added? I want to add School Activities and have it show up on the paystub. Apologies for the short and crude post, I've posted this 5 times now and keep getting an error on the posting. Having typed it multiple times, my patients have ran dry. Thanks.

If so, the extra paycheck in 2026 may force some employees to lower their percentage contributions in order to NOT max out their 401k before the last 12/31/26 paycheck.

My client has QBO Payroll Premium. We haven't worked with the payroll module before. Intuit says that the e-file is included as is contractors who download their own 1099 but "fees apply" if we want Intuit to print and mail the 1099s to contractors and vendors. I've spent 2 days trying to find out the cost per vendor is. Does anybody know? We'll have around 30 contractors and vendors.

Each of the past three or four years, the W-2s generated by QuickBooks Desktop have added a second state line for the same state (Utah).  One line has the correct gross wage amount and state tax withholding amount.  The second line (actually, showing as the first line in Box 15) shows an amount between and 7 and 10% of each employee's state wages and reports no withholding amount. In past years, as well as this year, I will edit each W-2 (fortunately there are only six) to remove the extra line.It would be great if QuickBooks actually created accurate W-2s. Let me know if you know of a solution. Thanks 

each year I pay a one time lump sum payment into my solo401k and I call quickbooks payroll to have them record it on my W2 but each year they get it wrong and screw it up, I finally talked to someone who sounds like they know what they're talking about and he has me run a new payroll, set hours worked to zero so no additional wages are paid, we calculate out the tax and set it to net zero then record the 401k deductions on the check and submit the payroll. He sent me an article to do it on my own in the future and I thought I finally had this issue resolved. Then... checking my bank account I see quickbooks took out $5,000 as a tax so I called support to see why and they say it was the payroll that I ran to record my 401k contribution.  I'm not sure why there would be additional tax owed as there was no additional wages. This 401k contribution was coming from wages that were already paid and taxes previously in the year, I was simply moving the money to the 401k account and needed

I just spent an hour and a half with a very nice support person, HOWEVER Be aware that your MN Sick time does NOT stop at 48 hours if an employee has used some of the Sick hours.  I have an employee that is at 50+hours because he used 16 hours.  The accrual is ONLY looking at what is available.  Should be a simple IF Available + Used is >= to 48 STOP ACCRUING.  The programmers are supposed to be looking into this.  I have over 100 employees that I now need to watch each payroll if they go over the 48 hours.Let's hope they can fix this quickly.  If they don't they are going to be a lot of MN people calling support.
